Instructions for loading .dbf files into MSWorksTM 2000 (Version 5)

Download the file to the "My Documents" folder. If you received a file called "RADIOD.EXE," it will unzip to a Dbase file called "RADIO1.DBF." This is the file to bring into your MSWorks...NOT the "EXE" file. If the file already has a .dbf extension, you can skip this next step. Otherwise, after downloading the file to your hard drive, open Windows Explorer and double-click on the file name. A black window will open which you can immediately close and close Windows Explorer.

Open MSWorks and on the left-hand side, click on "Works Database." If this option didn't appear, click on the "Programs" link at the top.
Then click on "Start a blank database." When the "create database" window opens, click on "add" then click on "done."

Now go to the upper left part of the window and click on "File" then click on "Open."

Make sure the "look in" box is pointing to "My documents." If it isn't, click on the black down arrow to the right of that box and redirect it to "My Documents."

At the bottom on this window, locate the "files of type" box and click on the black down arrow to the right of that box and redirect it to Dbase (*.dbf). Our file name should now appear. Click on our file and then click on "Open." The program should now give you instructions to change the field width to fit the largest entry. This should be done to all 28 fields, and it MUST be done to any field that looks like this: ###.
Be sure to save the file as a "Works DB file."

Working with filters

To select stations by format (for example) Click on "Tools" at the top of the screen, then click on "Filters."
To find all the Adult Contemporary stations,
1. Go to the "Field name" box and select "FORMAT."
2. Go the the "Comparison" box and select "CONTAINS"
3. Go to the "Compare to" box and type in "AC"
Then click on "Apply Filter. MSWorks will now display ONLY the AC stations. We've included a list of the other format codes in our documentation.

Removing duplicate addresses

There can now be as many as 8 stations at the same address. To filter out these duplicates:
1. Go to the "Field name" box and select "NOTES."
2. Go the the "Comparison" box and select "DOES NOT CONTAIN"
3. Go to the "Compare to" box and type in "DUPE"
Then click on "Apply Filter. MSWorks will now display unduplicated addresses.

Designing Mailing Labels

Close the database window and select "Tasks." On the left-hand side, select "Letters and Labels."
Click on "Mailing Labels" then click on "Start." When the "labels" window opens, select "mailing labels" again. MSWorksTM will then help you choose a label design.
